As you would be aware, AusCycling commenced on Sunday 1st November 2020.  Our membership system (TidyHQ) went live immediately and we are pleased to let you know that within the first three weeks we have seen over three thousand members sign-up and over a thousand 4-week free trial memberships have been processed.

AusCycling Events (ACE) and EntryBoss

We are now pleased to provide information on ACE and EntryBoss event management systems available to all affiliated AusCycling clubs, coaches and event organisers. We recognise some clubs will have their own preferred event system, and these can continue to be used (i.e. there is no mandate on the requirement to use either of these systems -although the systems we will outline have been developed to make everyone’s experience better and we strongly recommend you try them).

These systems allow your club to setup and collect registrations for a weekend social ride, a weekly club race all the way through to a National Championship event. As riders register for an event, their AusCycling Membership (or legacy for BMXA, CA & MTBA membership) is validated for the date of the event. Where the rider does not hold a valid membership at the date of the activity, the rider will be offered a Temporary Event Membership, where permitted, at the applicable fee.

These systems allow clubs to setup categories which either align with AusCycling Technical Regulations, or as a club/organiser wishes to administer racing categories/classes (in line with the allowance of the AusCycling Technical Regulations).

Automatic Integration with Event Listing on AusCycling Website

Our development team has also integrated both systems with our new website. This allows all approved activities to be published, once approved, and automatically displayed on the AusCycling events calendar without the need for clubs to manage a secondary process.  Any updates you make to the event will also flow through with a simple push update.

AusCycling Events (ACE)

AusCycling Events (ACE) has been designed and developed initially to support our off-road disciplines (BMX, CX & MTB) fully and can also be used for basic road and track events. Further enhancements will continue to be made to the platform that will add future advanced features that will fully support Road & Track.

ACE is owned and has been developed by AusCycling to provide our clubs with a simple to use, yet comprehensive and fully integrated event management solution. As a solution owned and operated by AusCycling, our digital and event teams will continue to update the platform, catering for the needs of our grassroot clubs, right through to National and International events.

Built on the foundation of MTBA Online Services (former event and membership management solution for MTBA, with feedback from the BMX community), affiliated clubs are able to quickly create events, have them display on the AusCycling website and collect registrations. Whether collecting registrations for an event next weekend, or in 12 months time, affiliated clubs are able to set the parameters which suit their specific requirements.

Participants complete the registration process with a verification of their AusCycling (or legacy) membership as part of the check-out process, removing the need for clubs to undertake manual licence checks at the event. Where a membership is not current or is due to expire before the event end date, users are encouraged to renew their membership, or are automatically charged the AusCycling Event Licence fee as part of their registration. 

Features Coming Soon

As part of our commitment to ongoing development, we're excited to announce the following features which will become available in ACE over the next couple of months:
- Live Registrations Lists
Enable your potential participants to see who they'll come up against at the start line. This feature will be optional and controlled within the event module.

- Automatic Withdrawal & Refunds
Allow your participants to automatically withdraw and seek a refund without any additional administrative work. You'll control the parameters and rules as to when automatic refunds should be provided and any administrative fees which should be withheld.

($0 for event listing and any activity that does not take registration)

Based on a $100.00 entry fee, the host club would receive $97.50.

Training Sessions

We will be offering online training sessions for clubs regarding the use of ACE over the next two weeks. These sessions will be offered on the following dates/times:

- Monday 30th November @ 6:00pm AEDT (BMX Clubs Only)
- Wednesday 2nd December @ 6:00pm AEDT
- Saturday 5th December @ 3:00pm AEDT
- Tuesday 8th December @ 7:00pm AEDT

EntryBoss has developed a comprehensive online entry management system for cycling as well as other services for the management of competitive sporting and other events. Whilst clubs may choose other systems, AusCycling has partnered with EntryBoss to ensure automation of sanctioning, handicapping, membership verification, and participation reporting for the sport of cycling. The service is in use by hundreds of clubs and race organisers across Road, Track, CX, MTB, and other sporting disciplines. Specialist BMX enhancements are in development and will be released shortly.

EntryBoss’s main aim is to save race organisers time, and allow all clubs to present professionally when hosting races - regardless of their size or IT capability. All the advanced features developed over the last five years of operation are immediately available to all AusCycling-affiliated clubs, such as managing waitlists, automatic categorisation by capability & age group, auto-numbering, one-click preparation of start lists, managing cancelled events, through to feeding external services such as timing & scoring systems, or reporting to governing bodies, and much more besides.

EntryBoss is authorised for real-time verification of AusCycling memberships (and historic/legacy memberships from CA, MTBA and BMXA during transition). EntryBoss is an authorised channel for temporary membership sales, and is a recommended means for race organisers to obtain event sanctioning and incorporate their events into the AusCycling national calendar.

This feature set continues to grow in collaboration with AusCycling, with EntryBoss continuing to deliver on the roadmap and slated to introduce more compelling features in the coming months.

A variety of commercial options are available depending on your event size and needs, and pricing is highly competitive. EntryBoss is affordable for the smallest of clubs. For some event types, such as training events, there may be no EntryBoss fee at all. The average EntryBoss fee is 63c per entrant. Payment card fees are passed on at no extra cost (currrently 1.2% + 30c per transaction). AusCycling clubs are also automatically included into a discount scheme, originally negotiated by Cycling Australia, which carries over into the unified authority.

BMX Scoring Providers

We have been working closely with all our BMX scoring providers to integrate member validation centrally. Some scoring providers have now started validating memberships and others we expect will be ready shortly. Your provider will contact your club directly to confirm once they are validating memberships centrally.

Specifically we have previously treated member data in a manner that did not meet community members expectations.

While we understand that this has been frustrating for some it has been critical to ensure we enable better long term service.
